Closeout documentation turns a completed coating job into an asset record. Requirements should be agreed before work starts so the contractor and inspector capture information while it is available.

Material Records

Record manufacturer, exact product, color, batch or lot information, mixing details and quantities when required. Keep the approved product data sheets and safety data sheets with the project file.

Condition and Inspection Records

Environmental readings, surface profile, cleanliness verification, wet- and dry-film thickness, repair locations and specified tests should be tied to dates and work areas.

Photo Documentation

Before, during and after photos are most useful when labeled by asset, elevation, grid or component. Include concealed preparation and stripe coating before they are covered.

Exceptions and Repairs

Document deviations, owner approvals, punch-list work and final acceptance. Clear records reduce uncertainty when the asset is inspected or recoated years later.

Coating recommendations should be confirmed against the substrate, exposure, owner specification, product data sheets and actual site conditions. A field assessment is the correct starting point.
